Privacy Policy

Orlando Gifted Academy PTSA Privacy Policy

1. Introduction

The Orlando Gifted Academy Parent Teacher Student Association ("OGA PTSA," "we," "us," "our") is committed to protecting the privacy of our members and website visitors. This Privacy Policy explains what personal information we collect, how we use and share that information, and the choices you have regarding your information.


This policy applies to information we collect through:

  • Our official website.
  • Membership and communication forms (e.g., Google Forms).
  • Third-party services acting on our behalf, such as our membership platform.
  • Meetings hosted by the OGA PTSA.


2. Information We Collect

We collect information in the following ways:


A. Information You Provide Directly to Us

We collect personal information when you voluntarily provide it to us. This includes:

  • Membership & Communication Forms (via this website and Google Forms): To effectively manage memberships and communicate with our community, we collect information such as:
    • Parent/Guardian Name(s)
    • Student Name(s) and Grade Level(s)
    • Email Address(es)
    • Phone Number(s)
    • Volunteer interests or other related information.
  • Website Contact: When you email us through the link on our website, we collect your name, email address, and any other information you provide in your message so that we can respond to your inquiry. This information is received directly by a designated OGA PTSA email account.


B. Information for Transactions (via Givebacks)

The OGA PTSA uses a third-party service, Givebacks, to process membership sales, donations, and other payments. When you make a transaction, Givebacks will collect personal and payment information directly from you, such as:

  • Your name and contact information.
  • Credit card or other payment details.

The OGA PTSA does not collect, store, or have access to your full payment card information. This data is handled exclusively by Givebacks, which is SOC 2 Type 1 certified, demonstrating a high standard for data security. C. Information from Recorded Meetings (via Zoom)

The OGA PTSA may record its general and board meetings held on Zoom. By participating in a recorded meeting, you consent to the collection of your image, voice, and name as displayed in the meeting. These recordings are used for internal record-keeping and to make meetings accessible to members who were unable to attend live.


D. Website Usage and Analytics Data

When you accept cookies on our website, our website hosting provider may automatically collect non-personally identifiable information through its server logs and built-in analytics tools. This may include information such as your device's IP address, browser type, operating system, the pages you visited, and the time and date of your visit.


We use this aggregate and anonymized data for internal purposes only, such as to monitor website traffic, diagnose technical problems, and improve our website's performance and content.


Importantly, we do not install or use any third-party tracking or analytics services (like Google Analytics) on our website. All usage data is contained within our hosting environment.


3. How We Use Your Information

We use the information we collect for the following purposes:

  • To Manage Your Membership: To process your membership application, send confirmations, and provide you with member benefits.
  • To Communicate With You: To send you newsletters, event announcements, volunteer opportunities, and other important information related to the OGA PTSA and Orlando Gifted Academy.
  • To Operate the PTSA: To maintain internal records, coordinate programs and events, and respond to your inquiries.
  • To Improve Our Services: To understand our community's needs and improve our communications and offerings.
  • For Security and Legal Compliance: To protect the security and integrity of our operations and to comply with legal obligations.


4. How We Share Your Information

We are committed to protecting your trust. We do not sell, rent, or trade your personal information with third parties for their marketing purposes.

We may share your information only in the following limited circumstances:

  • With Service Providers: We share information with third-party vendors who perform services on our behalf, such as:
    • Givebacks: For processing payments and managing memberships.
    • Google Workspace: For collecting and storing communication and membership data via Google Forms and Google Sheets. Access to this data is restricted to authorized OGA PTSA board members.
    • Zoom: For hosting virtual meetings.
  • For Legal Reasons: We may disclose your information if required to do so by law or in the good-faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or protect the personal safety of our members or the public.


5. Data Security and Retention

A. Security

We take reasonable administrative and technical measures to protect the personal information we hold. Access to personal data collected via Google Forms is restricted to authorized OGA PTSA board members on a need-to-know basis. For payment processing, we rely on the security protocols of our certified third-party processor, Givebacks.


B. Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected. Generally, membership data is retained for the duration of the current academic year and for a short period thereafter for administrative continuity, after which it will be securely archived or deleted. Recordings of Zoom meetings will be retained for a limited period, typically no longer than the current academic year.


6. Your Rights and Choices

You have choices regarding the personal information you provide to us:

  • Access and Correction: You may request to review or correct the personal information we have on file for you by contacting the OGA PTSA.
  • Opt-Out of Communications: You may opt-out of receiving our email newsletters at any time by using the "unsubscribe" link included in the emails.
  • Deleting Your Information: You may request the deletion of your personal information from our active records. Please note that we may need to retain certain information for legal or administrative purposes.


7. Children's Privacy

We do not knowingly collect personal information directly from children under the age of 13. The information we collect about students (e.g., name and grade) is provided by a parent or legal guardian with their consent during the membership or communication sign-up process. This information is used solely for OGA PTSA operational purposes, such as tailoring communications and programs.


8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. We encourage you to review this policy periodically to stay informed about how we are protecting your information.
